Setting up Zoom for a large meeting
Note: These directions apply to the standard Pro level license. The Pro license only allows up to 300 participants. For meetings over 300 participants, a Webinar license will need to be added to your account.
When hosting a large meeting like a webinar or town hall, there are some Zoom settings that can help make the experience better for both the presenter and attendees.
After scheduling a Zoom meeting in Outlook..
- Open the Zoom app on your computer. (Type Zoom in the search bar).
- Click "Meetings" on the top bar.
- Find and open the meeting you scheduled
- Uncheck Waiting Room
- Advanced Options
- Allow participants to join early (10 minutes at least)
- Check the "Q&A" box
- Check "Mute participants upon entry"
Add alternate hosts to help manage the meeting.
Adding alternate hosts to help manage the meeting is highly recommended. These alternate hosts can monitor the chat, unmute participants, and assure that the presenter can focus on delivering content without worries about the logistics.
After starting the meeting...
- Click on "Participants"
- Click the mute all button to assure all users are muted
- Turn off "Play sound"
- Turn on "Prevent participants from unmuting"
