Duct Cleaning Standard Operating Procedure (SOP)
Overview
Proper duct cleaning directly impacts:
- Indoor air quality
- HVAC system performance
- Customer satisfaction and trust
- Reduction in callbacks
Improper cleaning can damage ducts, contaminate the HVAC system, or create avoidable service issues. This SOP ensures consistency, professionalism, and documented quality across all technicians and branches.
Scope
This procedure applies to all residential duct cleaning services.

Pre-Job Inspection & Customer Communication
Before beginning work:
- Discuss scope of work with the homeowner.
- Confirm duct locations and accessibility.
Explain cleaning order:
- Supply ducts cleaned first
- Return ducts cleaned last
- Identify and document any pre-existing duct damage.
- Take photos if damage is present.
Important: Failure to document existing damage can result in liability issues.
Step 1: Setup & Protection
- Power off the HVAC system.
Lay drop cloths around:
- Protect floors, walls, and furniture at access points.
- Inspect all duct cleaning equipment.
- Clean or replace filters as needed.
Step 2: Establish Negative Air (Only if Using Negative Air Equipment)
- Install negative air machine (Pogo Pole + TurboMax) at the largest supply vent or best available access point.
- Block return air intake with a bag over the filter to protect the furnace and coil.
- Turn on negative air equipment.
- Confirm strong suction before proceeding.

Step 3: Clean Supply Air Ducts (ALWAYS FIRST)
Warning: Supply ducts must always be cleaned before return ducts.
Procedure
- Remove one register at a time.
- Label the register for proper reinstallation.
- Clean register face and frame.
- For each supply duct run, clean using an approved method below.
Using TurboMax 3 (Negative Air Setup)
- Insert rotating brush (Cobra 7) into the duct run.
- Agitate debris while drawing brush back toward the opening to break up and vacuum material.
- Repeat this one-by-one process for all supply ducts.
Using DuctMaster (Vacuum Brush Setup)
- Power on vacuum brush.
- Attach the motor brush hose and brush assembly per the DuctMaster manual.
- Insert brush into the duct until it cannot advance further.
- Use the handheld remote to turn on the brush motor.
- Push brush to full length, then reverse brush rotation and pull back while it runs.
Tip: The DuctMaster’s rotating brush simultaneously agitates and vacuums debris without compressed air tools.
Continue this one-by-one process for all supply ducts.
Step 4: Clean Return Air (LAST)
Warning: Never clean return air ducts before supply ducts.
- Remove the temporary return block only after supplies are cleaned.
- Open or remove each return register one at a time.
- For negative air setup, relocate the Pogo Pole and TurboMax to the largest return duct.
- Clean each return using the same method as supply runs.
Step 5: Sanitization
- Confirm all visible debris is removed.
- Set up the Max Fogger with an approved sanitizer per manufacturer guidance.
- Apply through both supply and return access points.
- Allow sanitizer to properly dwell per instructions.
Step 6: Final System Check & Cleanup
- Reinstall all registers in original positions.
- Confirm each register is secure and dampers are open.
- Remove all drop cloths and equipment.
- Restore HVAC power and cycle system to verify airflow and normal operation.
Step 7: Customer Walkthrough & Documentation
- Walk through home with homeowner to verify work completion.
- Confirm all registers are open and clean.
- Document equipment used and any issues identified.
Safety & Quality Notes
