Each project that is in an active state requires key project management deliverables. To be considered an active project, it must first be approved by the PMO and executive team. For project approval, the project must have gone through the New Project Initiative process and have both a Project Charter and approved Business Requirement Document.
Weekly Status Report
a. Every Wednesday, by end of day, a weekly status update is to be sent to pmo@goettl.com.
b. The weekly status report is to be provided in format set by the PMO as seen in the Weekly Status Report template located at Blank - Weekly Status Report.pptx.
Recurring Project Team Syncs
a. A weekly or bi-weekly (depending on project timeline and needs) reoccurring team sync meeting is to be set which includes the Project Team, with the PMO Manager as optional.
b. This sync meeting covers: Risk, Issues and Roadblocks. It is also used to discuss project status and make project decisions as a team if needed.
Budget Burndown
a. If a project has an approved budget, a Budget Burndown is to be updated and provided every Wednesday, by end of day, with the Weekly Status Report sent to pmo@goettl.com.
Risk, Change, and Issue Reporting
a. Any risk, issue, or change identified for the active project is to be reported to the PMO upon identification by sending an email to pmo@goettl.com.
b. The PMO will update the Project Record with the report and assist, if required, in addressing the Risk, Issue, or Change.
c. An approved Project Change Request is required if the Risk, Issue, or Change affects the overall project requirements, scope, or project end date
